Announcements:

• Lauren Brodsky is the new serials specialist in Serials Acquisitions. She processes incoming serials and works with standing orders.

Discussion:

1) Document review (Renee)

We reviewed the document created by Renee called Procedure for processing serials with accompanying procedures. Two minor revisions were suggested:

After making these modifications, the document will be added to TPOT and Adolfo will notify the Cataloging Committee.

2) Other discussion on serials accompanied by audio and video materials

Hanley is the "gatekeeper" for questions. If the checkin record does not have a specific routing note, give the material to Hanley.

Adolfo inquired about treatment decisions (analyzed or not analyzed) and what happens when the treatment subsequently needs to be changed. He will consult with Jim. (Update: Jim and Hanley will work together on establishing best practices for reviewing analytics received after initial review.)

BML, IRPS, MCL, SE, SIO, and SPEC COLL keep their accompanying audio and video materials in-house; they are not housed in the Music Library.

3) CONSER Maintenance Exercises

We adopted the CONSER standard record on July 1, 2007. So far, we have had very little difficulty in implementing the standard when creating original records. Our concerns and questions mainly come up when we are editing existing copy. We were pleased to get the CONSER maintenance exercises from UCLA for additional practice. Our comments on the three exercises:

Exercise 1
Adding access for variant title, PHN. Some catalogers used 246 13 PNH, followed by $f with dates. Others used 246 1¬_ $i Issues for <May/June 2005-> have title:$a PNH. Either option is correct.

Former frequency: 321 $b Greater clarity if use "Mar. 1984" instead of "1984."

Exercise 2
776 indicators should be: 08. If online ISSN is available, add it.

The second 651 uses the subdivision "Research" incorrectly. Per SCM H2020 :"Assign the heading to general works that discuss comprehensively all aspects of research, such as proposals, finance, goals, management, personnel, special projects, etc., in all fields, and to works on general scientific research. Do not assign the heading to works that discuss the results of research." [The OCLC record has since been corrected by another library. The incorrect heading was replaced with: Yemen (Republic) $x History $v Periodicals.]

Exercise 3
Adding access to title "annual report" which appears on later issues. Is it useful to add a note for such a generic title? General agreement was that it’s a helpful note for library staff since it indicates a minor title change.

Another suggestion was to add a 246 field with a cataloger-supplied form of the variant, "Annual report [Buffalo and Erie County Public Library (N.Y.)]. Although the access point seemed useful, we could not find any justification in cataloging rules, guidelines, or past practices for this option.

Because "annual report" is a minor title change, remember to follow the CSR guidelines for structuring the entry: "Record minor title changes as 246 1_ with a subfield $i Issues for [dates] have title: $a [minor title change]."

Cessation note can be tacked on to an existing "Began with" note in an unformatted 362, or (less desirable) in a separate unformatted 362 note. A separate formatted 362 note is also acceptable since we have the last issue in hand.

4) Other discussion on the CONSER standard record

When upgrading existing copy with a parallel title in the 245, but not in 246, prefer to add the need 246 for the parallel title using indicators 31, instead of 11 as stated in the CSR. Note that the 246 first indicator value codes for the generation of a note or not, in the public display. Remember that for past practice, we used first indicator value of 3 because no note was need as the cataloger transcribed the parallel title in the 245, allowing the user to see where the entry came from. When employing the CSR guidelines, you do not transcribe the parallel title in the 245, so you use first indicator value of 1 to generate a note so that the user can see the entry.

When upgrading existing copy to add a series title that appeared on subsequent issues and not originally recorded in the record, we can follow the CSR, adding the authorized LC/NAF form of the series in the 830 only, and not add the statement as a 4xx field.

At a future meeting, we will discuss our policy of adding the 530 field to our local records, e.g, "Also issued online." Our records then are generally "out of sync" with the OCLC record. CSR policy is to prefer using the note as a $i in the linking field (76x-78x) instead of the 530. We add the 530 note to our local records because currently the $i note in 76x-78x does not display on Roger. Adolfo will check into getting our specifications changed so this $i note will display on Roger.
