Serials Cataloging Functional Group meeting minutes
Oct. 14, 2005
10:00 am - 11:00 am
Library Training Room
R ecorder: Margaret Christean
Announcements:
When cataloging an e-version of a monograph, if the print version was cataloged using member copy, but now DLC|DLC copy exists, overlay the existing member copy with the DLC copy.
Discussion:
1. SCDPP WG procedure: Checkin record notes: retention, identity, check notes and checkmsg.
The group made additions and corrections to retention and check notes. Margaret will revise the document.
2. FRBR terminology
Catalogers have been confused about the FRBR terminology used in a recent policy document. Adolfo reviewed the definitions of work, expression, manifestation, and item. For monographs, he presented a real-life example of FRBR terms:
Work : Adolfo and colleagues have an idea about sharing information on electronic resources.
Expression : They decide to write a print monograph on cataloging electronic resources.
Manifestation : Printed book is published in 2000 by Neal-Schuman Publishers.
Item : UCSD receives one copy of the 2000 print edition.
Subsequently, a 2nd print edition is published with revised text. This 2 nd edition is a different expression and requires a separate bibliographic record.
Margaret distributed pages from the article called "Defining the boundaries, FRBR, AACR and the serial" from the Serials Librarian v. 45:3 (2003). It is available on Roger.
It has useful explanations of FRBR terms and examples of how FRBR applies to serials.
3. Refresher on the guidelines "Combining Multiple Formats of Textual Materials on a Single Record"
Catalogers have had questions on implementing this "single record" policy. Arvid reiterated that the document was written to provide an overarching policy for multiple formats and the expectation was that individual units would create their own procedures. He also explained there are often exceptions to the policy for the sake of convenience.
There are differences between monographs and serials in using single records.
Monographs:
For monographs, manifestations of a same expression are cataloged using a single record.
Monographs and integrating resources are generally not combined on one record unless specifically requested by a bibliographer.
Adolfo showed an example of a LION complete online reproduction in PDF format of a print monograph. The PDF version is considered a manifestation. In this case, catalogers can use a single record. An HTML version is a different expression and requires a separate record. In general, we follow these guidelines but for practical reasons, we make exceptions. For instance, catalogers add both PDF and HTML versions to a single record for California document monographs.
Serials:
Catalogers use a single record for print, microform, CD-ROM, and online versions including HTML, PDF, selected text, and links to aggregators. Translations and geographic editions are expressions that require separate records. Web sites require scrutiny. Before adding a Web site version to a single record, catalogers need to look at the content to see if it is the same. If not, a separate record is created.
