Serials Cataloging Functional Group meeting minutes

Announcements:

• The Serials Cataloging Documentation, Policies and Procedures Working Group (SCDPP WG) membership has been established: Margaret, Nobuko, Renee, Virginia, and Arvid (as necessary).

• There will be a SCIUG meeting on October 6 at Cal State San Marcos. Registration: $25

• The SCFG meeting minutes are currently posted on the SCU website under category "Other," pending a permanent home on TPOT: http://orpheus.ucsd.edu/disc/SCFG.htm

Discussion:

1. SCDPP WG report
The SCDPP WG had their first meeting on Sept. 7, during which they established the following:

1. There is no chair for the group. Members will take turns coordinating the agendas and facilitating the meetings.
2. Regular meetings are scheduled for the first Wednesday of the month, from 9:00–10:00 am which allows the group to meet before that month’s scheduled SCFG meeting.
3. There will be no formal minutes.
4. Most of the group’s work will be conducted via email.
5. Members will do their own TPOT updating as necessary.
6. As the group completes documentation revision and/or implements new policy and procedures, they will inform Adolfo so that topics can be put on the SCFG agenda. Adolfo will officially inform staff members outside SCFG who will be affected by the newly revised documents and policies.

A website has been created with a listing of existing serials cataloging documentation compiled so far. The WG will be revising and adding to the list as appropriate: http://orpheus.ucsd.edu/disc/SerialsProcedures.htm


2. 793 $g proposal UCSD supplement

Please send comments to Becky by next Friday, Sept. 23. As you come across other examples, send them to the SCFG.


3. 776 $i Also available online vs. 530 Also issued online

UCSD serials catalogers utilize >530/>580 notes to explain linking relationships and those explanations are now showing up as $i in some linking fields on CONSER records (>776, >775, >787). In particular, “>776 $i Also available online …” is a common one and since UCSD serials catalogers use the >530 note, the $i is redundant.

Question for discussion: In 2000/2001, CONSER examined the use of the >530 vs. >7xx $i and decided that either practice was valid. In the context of UCSD cataloging, is there still value in retaining the >530 note locally?

Pros: Serials catalogers use the >530 to justify title added entries (e.g., “… with additional title: …”). The >776 field does not appear on all ejournal records so the >530 note will still be required. Keeping the status quo would save us from yet more cleanup and redistribution of SCP records. Workflow consideration: Catalogers can continue to add the >530 physical format information using constant data records. It’s more difficult to do that with >776 $i.

Cons: Both practices are confusing to users. The >776, >775, and >787 fields currently do not display to the public anyway—we would need to ask III to turn on display constants for >7xx $i.

Decision/policy: UCSD and SCP serials catalogers will adopt a mixed practice. Catalogers should look for the presence of $i in linking fields and:

If a $i exists in the linking field, do not edit or delete it or change the indicator values; instead, add the appropriate 5XX note to our local UCSD and SCP records only.

If a $i does not exist and the record lacks an appropriate 5XX field, add it to the OCLC master record per CONSER enhance practice.

For now, under no circumstance add a 7XX $i field to either the OCLC master record or our local UCSD and SCP records.
